1. Who we are and what this policy covers

Greenwood is a property-management business operated by Arthur Yakubovich, an Israeli sole proprietor registered for VAT (עוסק מורשה), identification number 324802024. Arthur Yakubovich is the controller responsible for the personal information described here. Contact: office@gwd.co.il.

This policy explains how we handle personal information through gwd.co.il, our owner portal when available, and our property-management services. It covers website visitors, people making inquiries, owners, prospective and current tenants, guests and other individuals whose information is necessary for those services. Portal provisions apply when that service is used.

2. Information we collect

Depending on your interaction with us, we may collect:

  • Inquiries: name, email, telephone number, property city and information you include in messages.
  • Management records: property details, management and rental agreements, identification documents where necessary, invoices, payment records, maintenance requests, correspondence and other documents relevant to managing the property.
  • Portal information: account and contact details, uploaded documents and records of activity associated with the account.
  • Technical information: IP address, browser/device information, pages viewed, interaction times, cookie identifiers and security or system logs, depending on the tools operating on the website.
  • Recordings: voice, image and information shared during recorded calls or video meetings, as explained in section 8.

We receive information directly from you and, where relevant and lawful, from owners, tenants, authorized representatives and service providers involved in managing a property. If you provide someone else’s information, provide only what is necessary and ensure you are entitled to share it and that the person receives appropriate notice.

There is generally no legal obligation to submit information through an inquiry form. Providing it is your choice. Without necessary contact details, we may be unable to respond; without necessary management documents, we may be unable to provide the relevant service or portal feature. Any specific legally required information will be identified when requested.

3. How we use information

We use information to respond to inquiries; arrange and deliver requested services; administer management and rental agreements; coordinate maintenance and suppliers; track payments, invoices and expenses; provide owners with relevant records and reports; operate the portal; protect our systems; improve service quality; and meet applicable legal obligations or handle disputes.

Use of the website does not by itself constitute consent to every form of processing. Where consent is required, it must be obtained for the relevant activity.

4. Cookies and third-party website tools

The website may use essential cookies for functionality, login and security. Where enabled, analytics, advertising measurement and embedded-content tools may collect technical information and information about website use. These may include Google Analytics, Google Tag Manager, Google Ads, Meta Pixel, reCAPTCHA and embedded maps or videos. Not all tools necessarily operate at the same time.

These tools can involve disclosure to their providers, who may process information under their own privacy policies, including outside Israel or Europe. Current tools and settings should be consulted in the website’s cookie information and controls, where available. Where consent is legally required, optional tools will be activated only after that consent. You can also manage cookies in your browser; blocking essential cookies may affect functionality. Browser settings do not necessarily prevent all tracking technologies.

5. Who may receive information

Access within Greenwood is limited to personnel authorized for their work. Information may also be disclosed, to the extent necessary and permitted, to:

  • The relevant property owner, including through the portal, for managing that owner’s property. Records may contain relevant tenant information and documents.
  • Contractors and other suppliers coordinating work at a property, and accountants, lawyers or other professional advisers assisting with the service.
  • Hosting, technical support, communications and website-tool providers, to the extent involved in delivering their services.
  • Authorities or other parties where legally required, or where lawfully necessary to establish, exercise or defend legal rights.

Routine service-related sharing is carried out within the owner’s authorization where applicable, and subject to the rights of every person concerned. Owner authorization does not replace any notice or consent separately required from another person. We limit disclosures to information needed for the relevant purpose.

6. Storage and overseas processing

Our WordPress website and planned custom owner portal are hosted on a dedicated server in Europe. Authorized staff may access information from Israel. Call and video-meeting recordings are stored locally. Additional providers used for communications, website tools or support may process information in other countries. Overseas processing is subject to applicable legal requirements; server location alone does not determine which privacy laws apply.

7. Retention and security

Our retention approach is to keep information only for as long as reasonably necessary for its purpose, including applicable recordkeeping obligations and legitimate dispute-handling needs. Relevant factors include whether an inquiry remains active, the management relationship, the type of document, statutory retention requirements and an actual or reasonably anticipated dispute. Different categories require different periods. Information no longer needed is to be deleted or anonymized, subject to lawful preservation requirements and backup cycles.

Access to business records is restricted to authorized personnel, with relevant information made available to owners and service providers as described above. No system can guarantee absolute security. Please protect your portal credentials and contact us if you suspect unauthorized access.

8. Calls and video meetings

We may record calls and video meetings to review and improve service quality. We will notify participants before recording and obtain consent where required. Recordings are stored locally and access is limited to authorized personnel for that purpose. If you do not wish to be recorded, tell us before recording starts so we can discuss an unrecorded alternative. Recordings follow the retention principles above.

9. Your rights and contact

Under applicable Israeli law, you may request access to personal information held about you and request correction or deletion where information is inaccurate, incomplete, unclear or outdated, subject to the conditions and exceptions in law. Additional rights, including deletion in other circumstances, may apply under other applicable rules. A deletion request does not necessarily require us to erase records we are lawfully required or entitled to retain.

Send requests or complaints to office@gwd.co.il. We may need proportionate information to verify your identity and locate the relevant records, and will respond within the applicable legal timeframe. You may also contact the Israeli Privacy Protection Authority.

10. Changes

We may update this policy when our services, systems or legal requirements change. The current version and update date will appear here. Material changes will be communicated as required by law; where new consent is required, publishing an update does not replace obtaining it.
